This Privacy Policy explains how Reasonbee Communications Ltd ("Reasonbee", "we", "us") collects, uses, shares and protects personal data. It applies to our website, our communications and AI services, and to messaging we operate on behalf of our client organisations.
Who we are
Reasonbee Communications Ltd is a company registered in England & Wales (company number 11260154), registered office 11 Granby Road, Stretford, Manchester, M32 8JL, United Kingdom. We are the data controller for personal data we process for our own purposes. Where we process personal data on behalf of a client organisation, that client is the data controller and we act as a data processor under their instructions.
What we do
We provide public relations, communications, copywriting and social media services, and AI business integration (consultancy, audits, systems, training, chatbots, conversational workflows and apps). As part of these services we operate business messaging — including WhatsApp Business messaging via the Meta WhatsApp Business Platform — on behalf of our client organisations, such as Urmston Town Juniors FC.
Personal data we collect
- Contact & enquiry data — name, email address, phone number and any details you provide when you contact us.
- Messaging data (on behalf of clients) — phone numbers and the content of messages we send or receive through business messaging channels, as directed by the relevant client organisation.
- Technical data — basic server logs (such as IP address and request time) generated when you visit our website.
How we use personal data & our lawful basis
- To respond to enquiries and provide our services — on the basis of our legitimate interests or to perform a contract.
- To deliver messaging on behalf of a client — on the lawful basis established by that client (the controller), typically consent or legitimate interests.
- To maintain the security and proper operation of our systems — on the basis of our legitimate interests.
WhatsApp & messaging platforms
Where we send or receive messages on a client's behalf via the Meta WhatsApp Business Platform, those messages are processed by Meta under WhatsApp's terms and policies. We process this data solely to deliver the messaging service on behalf of the client organisation, which remains the data controller for that activity.
Sharing personal data
We do not sell personal data. We share it only with: the relevant client organisation on whose behalf we act; service providers who help us operate (for example messaging, hosting and email providers such as Meta and SendGrid); and authorities where required by law.
Data retention
We keep personal data only for as long as necessary for the purposes described above or as required by law, after which it is deleted or anonymised. Data processed on behalf of a client is retained in line with that client's instructions.
Your rights
Under UK data protection law you have the right to access, correct, delete or restrict the processing of your personal data, to object to processing, and to data portability. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk. Where we process data on behalf of a client, we will refer your request to that client or assist them in responding.
Data deletion requests
To request deletion of your personal data — including any data held in connection with WhatsApp or other messaging we operate — email hello@reasonbeecomms.com with the subject line "Data deletion request" and the phone number or email address concerned. We will action verified requests, or pass them to the relevant client organisation where they are the controller, within one month.
